2. Photo Processing

2.1 Purpose of Taking Photos

• Before your session begins, we take a photo of each player. This photo is used for the following purposes:

• In-game guidance and instructions via display screens.

• Player overview and experience enhancement during the session.

• Identification and validation of the waiver agreement, as a substitute for a handwritten signature.

3. Storage Locations and Retention Periods

3.1 Location 1 – Waiver Validation

• Description: The photo is stored on a locally secured computer.

• Security: The storage is password-protected and access-controlled.

• Purpose: The photo serves as identity verification for the waiver and replaces a manual signature.

• Retention Period: The photo is retained for up to 1 year, after which it will be permanently deleted or anonymized.

3.2 Location 2 – In-Session Use

• Description: The photo is used temporarily during the VR session.

• Security: Stored in a locally shielded environment with no external access.

• Purpose: The photo is used solely to support the booked session (instructions, guidance, session flow).

• Retention Period: Deleted automatically 2 weeks after the session ends.

Optional Consent:

If you give us explicit consent, your photo may be retained as part of a player profile. In this case:

• The photo may be linked to your name/nickname, scores, and ranking.

• You can withdraw this consent at any time by contacting us at info@thenxtfit.com with reference to 'Delete Account".

 

4. Legal Basis

We process photos based on:

• Legitimate interest in ensuring proper session management, safety, and user experience.

• Consent, if you agree to additional uses like creating a player profile.
   

5. Your Rights

• Under the GDPR, you have the right to:

• Access your personal data (including your photo);

• Request correction or deletion of your data;

• Restrict or object to processing;

• Withdraw consent at any time.

• You may submit these requests via info@thenxtfit.com with reference to 'verzoek AVG'.
   

6. Data Security

• We apply appropriate technical and organizational measures to safeguard your data from unauthorized access, loss, or misuse. All local storage is strictly protected and accessible only to authorized personnel.
